Keeping booking confirmations available offline
A reservation in an email inbox is not automatically available without a connection. Test access before departure on the device you will actually use while travelling.

Distinguish a file, link and app
Open each important confirmation and establish what has been saved. A downloaded PDF is different from a link to an online account. An email may also load embedded content from the internet. The relevant question is whether the information you need appears completely without a connection.
Save the version intended by the provider. A screenshot can preserve an address or reference number, but it is not a valid ticket for every service. Dynamic codes or app functions may have different requirements. Read the particular provider's instructions rather than turning a successful experience elsewhere into a universal rule.
If an app is required, set it up early and check access. A forgotten password, expired session or required verification code may otherwise become apparent only at the entrance. Keep a provider-supported alternative available where one is offered.
Arrange records around travel days
Use recognisable filenames containing the date, place and service. On arrival day, transport, accommodation and access instructions should be easy to find together. A deeply nested folder structure can be less useful on a phone than a few clearly named day groups.
For accommodation, also save the actual address and a confirmed contact method. Searching a map for a similar business name can lead to the wrong building. If access is complicated, preserve the full instructions where permitted and protect any personal access details they contain.
For a group trip, decide who presents each document. A second authorised person may hold a suitable copy if the conditions permit it. Avoid distributing every document to everyone just in case; share what the person actually needs for their role.
Rehearse losing the connection at home
Turn off Wi-Fi and mobile data for a test, then reopen the saved documents. Check that names, dates, addresses and any required codes are readable. Restore the normal device settings afterwards. This tests local access at that moment; it does not guarantee that every app will behave identically later.
After a booking amendment, deliberately replace the old version and repeat the access test for the new document. A neatly named but obsolete file can be as troublesome as a missing one. Finally, decide where you can recover essential contact details if the phone is flat or lost.
