Checking travel documents before departure

Required travel documents depend on the person, destination and route. A group therefore needs a check for each traveller rather than one assumption applied to everyone.

Use the actual route

Write down the destination, intermediate stops and return journey. Consult official guidance relevant to your citizenship and residence status. Your Europe, for example, distinguishes different traveller groups and provides separate information concerning minors. Do not copy another traveller's document list without checking whether it applies to you.

Establish early which original document is accepted for the particular journey and what validity requirements apply. Blanket statements such as always needing six months remaining are not a reliable substitute for the applicable rules. If renewal is needed, ask the responsible issuing authority about its actual procedure and processing times.

Include transit points and circumstances such as travelling with children. List unresolved questions before contacting an authority or provider. A precise question containing the route and relevant personal circumstances is easier to answer than a general question about whether travel to Europe is possible.

Compare the booking with the document

Check booking details against the required travel documents. If they differ, clarify the procedure with the provider before making another reservation yourself. Avoid entering several variations of a name into different forms without understanding which format is required.

Also check the documents requested for accommodation, vehicle collection or a booked activity. These are not automatically the same as entry requirements. Keep each instruction with its related booking so the reason for carrying a particular item remains clear.

Treat originals and supporting copies differently

A copy may help with organisation, but it does not replace an original that is required. Keep necessary originals accessible and protected during the journey. Avoid storing them somewhere that forces you to unpack the entire main bag at each inspection.

Store personal copies only where you can control access. A publicly shared itinerary does not need complete document numbers. If you must send information to a provider, use its verified contact channel and check whether the amount of information requested fits the task.

Shortly before departure, make a physical final check: are the necessary documents present, do they belong to the correct people, and have they accidentally been packed in baggage you will hand over? This complements the earlier review of requirements; it cannot replace doing that work in advance.
