Collecting a rental car with a personal checklist
Collecting a rental car involves more than receiving the key. A structured check connects the booking, vehicle condition and the journey you actually plan.

Reread the booking before reaching the desk
Have the confirmation, required driver documents and payment method accepted by the provider available. Check the conditions for the particular station and offer. A document accepted on a previous rental is not automatically sufficient everywhere.
Record the main driver, additional drivers, collection and return times and intended return location. If crossing a national border, clarify it explicitly in advance. EU consumer information notes the need to inform the rental company about relevant cross-border plans; the actual permission belongs in your agreement.
Read how deposits and payments are handled. A reserved amount differs from an actual charge. If unclear, ask about the amount, payment method and release process before signing.
Assess additional offers individually
Extra products may be offered at the counter. Ask what they contain and what changes compared with the existing booking. Understand additional protection through its coverage, exclusions and possible excess, not only a short product label.
Do not sign under time pressure when the total is unclear. Request a written breakdown of compulsory and optional items. If declining something, the final agreement should reflect that decision correctly.
Check that prebooked equipment is actually present. A child seat, accessory or particular vehicle requirement becomes useful only when it is available and suitable. Resolve missing items before leaving.
Record vehicle condition clearly
Walk around the vehicle with the condition report. Examine visible bodywork, windows, wheels and interior for existing issues. Compare them with the record and have missing observations added.
Photograph issues so their location and nature are clear. An extreme close-up without context can be difficult to interpret later. Add an overall view and retain the files with the rental documents.
Compare fuel or charge level and mileage with the agreement. Have discrepancies documented before driving away. The record supports a clear handover; it does not replace resolving an apparent safety problem.
Check controls and space before leaving
Adjust seat, mirrors and basic controls while safely stationary. Ask about unfamiliar functions instead of experimenting while driving. Pay particular attention to controls needed in the first few minutes.
Load the actual luggage. A booked vehicle class does not guarantee that every suitcase shape fits equally well. If loading requires obstructed visibility or unsuitable storage, resolve it before departure.
For an electric vehicle, understand charging access, required accessories and the expected return level. Experience with another model is not enough. Ask about the specific process for this vehicle and offer.
Clarify return during collection
Ask for the return location and approach, especially at airports or large stations. Check opening hours, fuel or charging rules and the out-of-hours process. A key box does not automatically explain all obligations or when the vehicle will be inspected.
Save the contact for problems during the rental and the prescribed procedure. If a breakdown or damage occurs, know whom to contact first. Do not invent a repair or recovery arrangement from a previous trip.
Before leaving, make one final check: do contract, condition and required equipment match, and is return understood? Once these points are settled, the journey can begin without unresolved handover questions following the holiday.
